Office Manager

High Hopes Therapeutic Riding, Inc in Old Lyme, CT is seeking an individual with strong interpersonal skills who is detail oriented, organized, can multi-task, shift priorities and has experience in Office
Management.

Position Purpose:

Maintain a welcoming atmosphere for all participants, volunteers and visitors to High Hopes. Manage office resources efficiently to support the daily operations of High Hopes. Provide targeted administrative support for all departments. Support the Finance Director with Program invoicing and processing accounts receivables

Primary Role:

  • Manage office resources including reception volunteers, office technology, purchasing of supplies, maintenance of Master Calendar, and scheduling of work spaces.
  • Recruit, train, schedule and retain reception volunteers adequately to cover hours of operations.
  • Provide support to Finance Director in Accounts Receivable and Invoicing.
  • Provide targeted administrative support for all departments such as production of manuals, event programs, proofreading, mail processing
  • Oversee efficient operation, maintenance and training of all office equipment, Assist with IT support as needed, serve on the Technology Team.
  • Manage logo merchandise purchases, inventory and sales at High Hopes and at events including credit card processing.

Prior Experience:

  • Managing and supervising volunteers or staff
  • Purchasing supplies and merchandise
  • Light bookkeeping

Competency:

  • Microsoft Office Suite
  • QuickBooks helpful but will train
  • Office equipment (printer/copier, phone, AV, etc.)
